Parents have until Jan 26th to book rooms under these blocks, then the rooms will be released. There are 24 rooms available for VFX in the Week 1 block and 14 available in the week 2 block. Chaperones should NOT book their rooms the same way as other parents attending. They simply need to submit their name to the team parent rep since a room is already reserved for each chaperone. (Limit one chaperone per team. Chaperone responsible for cost of hotel room).
Instructions for booking rooms:
1. Go to http://www.advancedeventsystems.com/Hotel/UpdateReservation.aspx
2. Enter the e-mail address of the person who made the reservation. drome@symbolicinc.com
3. Type in Reservation # 8263 for Week 1, #8261 for Week 2
4. A summary of your reservation will appear.
5. From this page, identify the room type you would like to add your rooming list to. Be sure to check the check in and check out dates.
6. Click on any square beside your desired room type. (The amount of space left in each room is indicated in the squares by the numbers and color. For example, red and 4/4 means the room is full, no color and 0/4 means the room is empty) Clicking the square will take you to the Individual Room Info page for that room number where you can enter your booking information and Credit Card info.
**You will need to type one person per row. Please make this as accurate as possible for check in and security purposes.
7. Type in your credit card information. No one has access to your credit card information except for the hotel. AES' web site is secure using SSL (Secure Socket Layer) encryption.
8. Click update.
